Custom business systems and automation

A system built for a business held together by spreadsheets, messages and re-typing

We design and build the smallest solution that fixes a specific problem in how your business runs: it connects your tools, removes manual re-typing and gives you a clear view. We start with what slows you down, not with the technology.

Tell us what slows you down

What it looks like day to day

  • You copy the same details from an email into a spreadsheet, and from the spreadsheet into an invoice.
  • Important things live in messages, on paper and in one person's head.
  • One spreadsheet runs half the business and nobody dares to touch it.
  • The tools you already pay for do not talk to each other.
  • “Where does this job stand?” has no quick answer.
  • When one key colleague is off sick, the process stops.
  • You redo the same admin every week.
  • The business has grown, but the way of working is still the one that suited five jobs.

None of this is a failure. It is what a business looks like when it has grown faster than its tools.

The problem first, then the solution

We do not begin by asking which software you want. We begin with how the work really happens: who does what, where information gets lost and what costs you the most time.

Sometimes the answer is to set up what you already have properly. Sometimes one connection between two tools is enough. And sometimes it makes sense to build your own system. We will tell you which case is yours, even when that means a smaller project.

What we can build

Internal business systems

One place for customers, jobs, tasks and the state of the work, instead of spreadsheets and messages.

Workflow automation

Repeated steps run by themselves: a record is created, a reminder goes out, documents are sent, the job is handed to the next person.

Tool integrations

Website, forms, email, invoicing and spreadsheets pass data to each other without re-typing.

Overviews and dashboards

Job status, deadlines and the numbers you need to see, on one screen and always current.

AI-assisted workflows

Only where it genuinely saves work, for example sorting enquiries or preparing documents. A person always checks the result.

Web applications and portals

Sometimes a system needs its own interface: for your team, for your customers, or for both. That is when we build a custom web application.

Customer portal

Customers check the status of their job, their documents or their dates themselves, without having to call you.

Internal portal

The team has one login and finds its tasks, documents and procedures in one place.

An application for one process

An order, a booking, a site visit or a job handover. One process that can also be completed from a phone.

An application is not the goal. We propose one only when a simpler solution is not enough.

What we have already built

Each example says what kind of evidence it is.

Own system

Command Center

The internal system where we keep all our projects: status, sources, next step and whose turn it is. We built it because project information was scattered across folders, documents and messages.

Own system

Social Command

A panel for planning, preparing and publishing social media content. A post moves from plan through preparation to approval, and nothing is published without an explicit instruction from a person.

Own system

Digital Guide

The guide on this website. It answers from an approved set of answers in three languages, runs in your browser, stores nothing and hands you over to a person when you have a specific request.

Anonymised client example

Operations system for a small manufacturing business

Records of clients and jobs, the stage and status of each job, photos from the work and an overview for the owner. It replaces an older setup built on spreadsheets. A pilot version for the owner of the business.

Our own systems show what we can build. They do not automatically prove a result for a client, so we do not claim one. We do not publish client results in numbers until they are evidenced and agreed.

How we work

  1. A conversation

You tell us what slows you down. We ask until we understand how the work really happens.

  2. The smallest solution, proposed

We describe what we suggest building, what stays as it is, and why.

  3. A written scope

You get in writing what is part of the work, what is not, and what we need from you. We also agree who owns the accounts, access and data.

  4. Built in parts

We start with the first usable part. You try it on real work and we adjust from there.

  5. Handover

We show you how to use the system and say plainly what is finished and what could be added later.

What affects scope and investment

We do not publish prices, because two systems with the same name can differ completely in size. These are the things that really change the scope.

What makes a project larger

  • the number of people and roles who will use the system
  • the number of tools that need to be connected
  • moving and cleaning old data
  • exceptions and special cases in the process
  • customer logins and work with personal data

What you receive

  • a written scope before we start
  • a working system, running where you will use it
  • training and a short guide
  • a clear list of what is finished and what is not

What we need from you

  • one person who knows the process and can decide
  • a walk-through of how the work happens today
  • access to the tools that are to be connected
  • time to try the first version

You receive the specific scope and price in writing after the first conversation.

When you do not need a custom system

If an existing tool solves your problem, we will say so. If the process itself is still unclear, automation would only make it faster, mistakes included, so the process needs to be settled first.

And if the problem really starts with a website that brings no enquiries, see websites and landing pages.

Start a conversation

Write or call. A few sentences about what is slowing you down is enough. The reply comes from a person who actually works on the project.

We work in English and Slovak.
